Build an operations agent on Claude Code that answers tenant queries, drafts contracts, triages your inbox, benchmarks your prices against the market and sends you a weekly brief every Sunday. The same structure works for any business with clients, contracts and reports.

Who this guide is for

Real estate owners and small portfolios in the UAE and the Gulf, and any small business owner who wants one operator to connect their tools

Key terms

Operations agent
A program that uses Claude to read your messages and data, prepare replies, documents and reports, and wait for your approval before sending.
Skill
A folder for one repeated task with a SKILL.md file that explains the rules, plus the template. The agent picks the right skill when its moment comes.
MCP
A standard way to connect the agent to your tools, such as Gmail, Google Drive and your calendar, so it can read from and write to them.
cron
A scheduler that runs a command automatically at a set time, such as inbox triage every morning or the brief every Sunday.

The steps

  1. Step 1

    Build your data model

Before any agent, get your data in order. This is the layer everything else queries.

You need four tables: units, tenants, leases and leads. One sheet with the right columns is enough for week one: unit code, area, type, owner, current rent, lease start date, lease end date, tenant name, tenant contact and status.

Start with a clean spreadsheet and move to a real database such as SQLite or Postgres the moment the sheet gets tight.

Tip: Get the structure right before the agent touches it. Wrong data gives you wrong answers, delivered with confidence.

  2. Step 2

Install Claude Code and pick a run path

Install Claude Code and sign in. Open the terminal and run the simplest test: claude -p with a one sentence request, and confirm you get a reply.

You have two paths. Path A runs locally on your machine or a small server you control, on your Claude subscription at a fixed monthly cost. The entry point is claude -p inside a script, scheduled with cron, and now you have an operator. The trade off: the machine must be on when the agent runs.

Path B is a managed agent on Anthropic's infrastructure through the Claude Agent SDK. It runs all the time with no machine on your side and is billed on tokens through your Anthropic account. It suits larger portfolios and teams.

For a small portfolio with light traffic, Path A is usually the cheaper start. Watch the spend either way.

Open any session with the prompt below so the agent knows its role.

    PromptOpening prompt: set the role
You are an operations agent for a small real estate owner in [CITY]. I own [NUMBER] units across [AREAS].
Your job is to answer tenant queries, draft contracts, triage my inbox, prepare a weekly brief, and benchmark my prices against the live market on PropertyFinder and Dubizzle.
Use the tools available to you.
Ask me one question at a time when you need more information.
Default to drafting and waiting for my approval until I tell you otherwise.
  3. Step 3

Connect the integrations one at a time

Choose the MCP servers that match the tools you already use. You do not need complex infrastructure. Most of these tools are already on your phone. The agent is the layer that connects them.

Email: Gmail has a ready MCP, and for another provider a small IMAP bridge does the job. Messaging: a bridge between the agent and your WhatsApp number through Twilio or your own server; the agent reads the message, drafts a reply and you approve. Documents: Google Drive or a local folder for contracts, IDs and addenda. Calendar: Google Calendar for viewings, renewals and payment dates. Market data: a web fetch tool that pulls listings from PropertyFinder and Dubizzle. Scheduling: cron on Linux, Task Scheduler on Windows, or the platform scheduler on Path B.

Add each integration on its own and test it before wiring it to the others.

Tip: The agent is only as smart as the tools it can call. A broken integration means a silent agent.

  4. Step 4

Write your first skill: contract drafting

Start with contracts. It is the easiest win and the fastest one you will feel.

Create a skills/contract folder with your contract template and a SKILL.md that explains the rules. Give the agent your template and your data model. Draft a contract, improve, repeat.

The agent generates leases, addenda and renewal notices from your template, fills in the unit, tenant and price details, and outputs a final document ready for signature.

Once contract drafting is reliable, you trust the agent. That trust is the budget you spend on every skill after it.

    PromptDraft a tenancy contract
Draft a tenancy contract for Unit [UNIT CODE].
Tenant name, ID and contact details are in the records.
The annual rent is AED [AMOUNT], paid in [NUMBER] cheques.
    The lease starts on [DATE].
Use the template stored under skills/contract.
Output the final document, ready for signature. Flag anything missing from the records before you finalise.
  5. Step 5

    Add market pricing

Connect the fetch tool to pull live listings from PropertyFinder and Dubizzle for your unit type and area.

Save every scan as a snapshot. The agent compares each unit with the current median and flags units that look overpriced or underpriced before you notice.

One scan a night is enough. The value builds when you have weeks of snapshots, not a single day.

    PromptMarket scan
Pull the latest PropertyFinder and Dubizzle listings for [UNIT TYPE] in [AREA].
Show me a table of comparable units with the asking price, size and how long each one has been live on the platform.
Then tell me where my units sit against the median.
Flag any of mine that look overpriced or underpriced.
Save the snapshot so we can track drift week over week.
  6. Step 6

    Add the weekly brief

Write a skill that pulls everything together every Sunday: active leads and the status of each, contracts signed, vacancies older than thirty days, lease renewals coming up in the next sixty days, and where your prices sit against the market.

Schedule it for Sunday morning, and the brief lands in your inbox while you finish your coffee.

    PromptWeekly brief
Prepare my weekly briefing for the week starting [SUNDAY DATE].
Include active leads with their status, contracts signed this week, vacancies older than thirty days, lease renewals coming up in the next sixty days, and a market drift summary for my areas.
Two pages maximum. Plain language. No filler.
Send it to my email by eight in the morning on Sunday.
  7. Step 7

    Go live gradually

Start with the agent drafting and you approving. Every email, every reply, every contract waits for your sign off. Run it this way for two weeks until your trust settles.

Then step up: routine replies go out on their own, and the agent escalates only new or sensitive messages. You stop being the bottleneck.

Four habits keep the operator at its best. Do not give it full autonomy on day one. Keep your data clean and block time each week to tidy the records. Watch the spend with a monthly budget you review alongside the Sunday brief. And turn every repeated task into a skill with a folder, a prompt and rules.

The same structure works for any business: a clinic, an agency, a shop. Swap units and tenants for whatever your business runs on.

Tip: The agent is software and you are the one running the company. Skip maintenance and it will drift.

The takeaway

Build a clean data model and the contract skill this week, then add market pricing and the weekly brief in week two.
