وصف وظيفة لأول agent عندك: اكتبه أول، وبعدين اختار الأداةA Job Description for Your First Agent: Write It First, Then Pick the Tool

Before you open any tool, write your first agent a job description like any new hire: its job, its goal, its hours and what is not its job. Then pick the tool and the model and test it on real messages.

Who this guide is for

Small business owners and teams who want a first agent that answers customers or runs one repeated task

Key terms

Agent
An AI program that takes a task and finishes it step by step on its own, like answering a message and booking a slot, instead of answering one question.
Job description
A short text you give the agent with its job, goal, hours and limits. It is the part that matters most, because tools change and the description stays.
Handoff
The rule that tells the agent when to stop and pass the conversation to you or your team.
No code
Tools where you build the agent by connecting blocks, like n8n, Make and Zapier, without writing code.

The steps

  1. Step 1

Pick one job that costs you money

Start with one repeated, clear job. Example: ad messages that arrive at night while you reply in the morning, and by then the customer has talked to someone else.

Write the job in one line. If it does not fit in one line, split it.

    PromptPick the job
Help me pick the first job to hand to an agent. My work: [describe your work]. The tasks that repeat every day: [list them]. Rank them by how often they repeat, how much money a slow answer costs, and how clear they are. Suggest only one and write it in one line.

Tip: One job done well beats five jobs done halfway.

  2. Step 2

Write the title and the goal

Treat the agent like a new hire. Give it a job title and one goal you can measure.

Example: sales assistant for a real estate broker in Dubai. Goal: a confirmed viewing in the calendar.

    PromptJob description template
You are the [job title] for [company or person] in [city].
Your job: [the job in one line].
Your goal: [one measurable result, like a confirmed viewing in the calendar].
The customer you talk to: [who they are and what they usually want].
  3. Step 3

Set the hours and the speed

Write when it works and how fast it answers. An agent does not sleep, so 24 hours, 7 days and an answer within a minute is fine.

Also write how it answers: in the customer's language, in short sentences, with no promises.

    PromptHours and style
Your hours: [for example 24 hours, 7 days].
Answer every message within [one minute].
Reply in the customer's language, in short, polite sentences.
Ask one question per message until you know: [the details you need, like budget, area and viewing time].
  4. Step 4

Write what is not its job

This is the most important line. Name what it never touches and when it hands the chat to you.

Example: it never negotiates the price and never gives financial or legal advice. Any question like that goes to you with a short message.

    PromptLimits and handoff
    Never part of your job:
    1. Negotiating the price or discounts.
    2. Any financial or legal advice.
    3. [anything else it must not touch].
If the customer asks about any of these, reply: "Good question, [your name] will answer you personally", then send me a summary of the chat.

Tip: An agent fails on what you did not write, not on what you wrote.

  5. Step 5

    Pick the tool

Only now do you pick where to build it.

No code: n8n, Make or Zapier. Connect WhatsApp or email to your calendar and paste the job description as the agent's instructions.

With code: Claude Agent SDK or OpenAI Agents SDK, if you have a developer or want full control.

If your company is on ChatGPT Business or Enterprise, there are workspace agents inside ChatGPT itself.

    PromptPick the tool
Here is the job description for an agent: [paste it]. The channels it answers on: [WhatsApp, email, Instagram]. The calendar: [Google Calendar or other]. My coding level: [none, some, developer]. Compare n8n, Make, Zapier and the Claude Agent SDK for this exact case and recommend one with the reason.
  6. Step 6

Pick the brain and test it on real messages

Inside any tool you pick the model: Claude, GPT or Gemini. Try more than one on the same messages.

Take 10 real messages you received before and see how it answers them. Focus on what is not its job: did it hand those to you correctly?

PromptTest before you switch it on
Here are 10 real messages from my customers: [paste them]. Answer each one as the agent with this description: [paste it]. Then give me a table: the message, your answer, whether you kept to the limits, and whether it should have come to me.
  7. Step 7

Switch it on and review it weekly

Start on one channel. Every week read the chats it handed to you and the ones it got wrong, and add one line to the job description.

The description grows over time. The tool stays the same.

Ready prompts to copy

PromptReview the job description
Here is a job description for an agent: [paste it]. Where could it misread it? Write 5 customer messages that could trip it up, and suggest one line that closes each gap.

The takeaway

Tools change. The job description is what makes the agent work. Write it first.
