Instead of collecting AI tools one by one, build your company's system on five layers, in order, each one carrying the next.

Who this guide is for

Small business owners and solo founders who want AI to take on real work

Key terms

Context layer
One place with everything anyone working with you needs to know: prices, tone, common questions. Your agent reads it instead of you explaining every time.
Agent
An AI program that takes a goal, plans the steps and uses the tools you give it access to.
MCP
A standard way to connect Claude to your apps, like Gmail and Notion, so it can read and work in them.
Internal tool
A small app you build just for your work, like an orders dashboard or a quote calculator, instead of paying for a full product.

The steps

  1. Step 1

    Write your company context page

Open a page in Notion or a note in Obsidian and call it Company context.

Put five things in it: who you are, what you sell and for how much, who your customers are, how you reply to them, and the questions that keep coming back.

    PromptHave Claude draft it
I run a [type of business] in [city]. Ask me ten questions about my work, one at a time, then write a company context page with: who we are, products and prices, customers, reply tone, and common questions with answers.

Tip: Update the page whenever a price or policy changes. Your agent believes what it says.

  2. Step 2

    Connect the context to Claude

Create a new Project in Claude and put the context page in the project instructions or upload it as a file.

Every chat in the project now starts knowing your company.

    PromptTest it
Using only the context page: write a reply to a customer asking [a real customer question]. If the answer is not in the page, tell me what is missing instead of guessing.
  3. Step 3

    Build your first internal tool

Pick something you do by hand every week: an orders sheet, a quote calculator, a booking form.

In Claude Code or Cursor, describe the tool and ask it to use Supabase for the data and Vercel to publish it if you need a link.

    PromptThe first ask
Build me a simple [tool name] for my work: [exactly what it does]. Before you write any code, give me the plan in five points and wait for my approval.

Tip: Get the plan first. It is faster than fixing code you did not want.

  4. Step 4

    Set up your content studio

Pick one tool per job: Higgsfield for images and video, ElevenLabs for voice, Runway for video editing.

Add a description of your visual style to the context page so every request comes out on brand.

    PromptStyle line
From the context page, write a two line visual style description I can paste into any image or video tool: colours, lighting, mood and one thing to avoid.
  5. Step 5

    Turn your email into memory

In Claude open Settings, then Connectors, and turn on Gmail and the file app you use.

Now you can ask about any old quote or agreement instead of digging for it.

    PromptAsk your memory
Search my email for the last quote I sent to [client name] and summarise: the date, the amount and what we agreed.
  6. Step 6

Tie them together with one agent

You now have context, tools, content and memory. Run one recurring task across all of them.

Start small and review its work for a week before you hand it more.

    PromptThe weekly task
Every Sunday: read this week's emails, pull out the new orders, update [tool name], and write me a five line summary plus anything that needs my decision.

Tip: Anything involving money or messaging a client, make it ask for your approval first.

Ready prompts to copy

PromptLayer check
These are the tools I use now: [list]. Sort them into five layers: context, internal tools, content, knowledge, agent. Tell me which layer is empty and which tool is extra.

The takeaway

Tools change every month. Layers stay. Start with context and build the rest on top.
